How Indate works

Four things, in order. Most landlords are through the first two in an evening, and then the app mostly leaves them alone until something is worth saying.

Add a property

The first question is where the property is, and Indate will not answer it for you. England continues; Wales, Scotland and Northern Ireland run different regimes and get an honest “not supported yet” rather than the wrong rules quietly applied.

Then the council, picked from a bundled list — no postcode lookup, no network call. The council is what decides your region, and the region is what decides your two registration dates: when registration opens for you, and when you have to be registered by. For a property in the West Midlands that is 15 December 2026 and 14 March 2027.

A nickname, the address, bedrooms, who lives there and whether they share a kitchen or a bathroom, furnished or not. The occupancy answers matter: five or more people from more than one household, sharing amenities, is where mandatory HMO licensing starts.

Your region comes from the council, not the county. Several counties straddle two regions.

Add your certificates

A gas record, an EICR, an EPC. A deposit and the date it arrived. A licence, its number and its expiry. Scans go in too, from Files or the camera, and stay in the app’s own storage on the device.

The gas screen is where Indate earns its keep. Reg 36A says a check completed within two months of your deadline counts as if it happened on the deadline — so your anniversary survives. A check done earlier than that doesn’t get that treatment: the deadline becomes twelve months from the check, and it stays moved. Landlords who book early every year walk their own deadline backwards without ever being told.

Indate shows you which of the two just happened, in a sentence, before you save. The EICR screen does the same job with a quieter trap: it asks for the inspection date and any shorter interval the report recommended, then uses whichever falls first.

Checked 5 December 2026, more than two months before your 14 March deadline. Your deadline moves to 5 December 2027 — and it doesn’t move back.

Get told before it lapses

Ninety days, thirty days, seven days and the day before, at 9am, plus a Monday morning summary of anything due inside a month. Indate asks for permission to send those after your first property is added, not the second you open the app.

iOS holds 64 pending reminders per app and silently discards anything past that — a landlord with eight properties is over the line immediately. Indate rebuilds the whole schedule every time it opens, sorts every future date and keeps the nearest ones, so the queue never quietly rots.

Statutory dates get a colour and a penalty figure. Everything else doesn’t. A boiler service, a legionella review or a PAT reminder can sit on the list if you want it there, labelled “Not a legal requirement”, in neutral type, with nothing red and no penalty — because none of them is a legal duty in an English residential let, and an app that pretends otherwise is selling you a deadline that doesn’t exist.

Build the registration pack

When registration opens for your region, Ready to Register lays out every field the service asks for — your details, the property’s details, the rent, HMO and furnished status, licensing, and the gas, EICR and EPC records — each one filled from what you’ve entered or flagged as still missing. “Copy all” gives you the lot as plain text to work from while the real form is open.

It carries the fee, £65 per property per year with the landlord entry free, and the renewal date. Renewal is anchored to your first dwelling entry rather than each property’s own anniversary, which is the detail that goes wrong for everyone with more than one property. Later properties are pro-rated in their first year.

Once you’re registered, anything in the entry that goes out of date has to be updated within 28 days. Replace an EICR in Indate and the update appears as its own dated item rather than as something you were supposed to remember.

The documents themselves come out as a per-property PDF pack: a cover page, a summary of where every date stands, then the certificates behind it. Useful for a mortgage application, an insurer, or a council officer asking questions.

Before you start

What to have to hand

Nothing you don’t already own. There is no account to create, nothing to verify and no data to import.

The council name

For each property. It sets the region, and the region sets your registration dates.

Your last certificates

The gas record and its deadline date, the EICR with any shorter interval the report recommends, and the EPC.

Deposit dates

The date the money arrived, the date it was protected, and the date the prescribed information went out.

Licence details

Type, council, number, expiry, and any conditions — some of which create their own recurring jobs.

Right to Rent dates

When you last checked, and separately the expiry of the permission and of the document you were shown.

iOS 18 or later

Indate is an iPhone app. There is no web version and no portal to sign in to.

You register on the government service yourself. Indate cannot submit a registration on your behalf, and nor can a letting agent — the landlord must do it personally.
